How to narrow down your Gmail search results
Locating mail in Google is great if you’ve got search, but here are a few shortcuts to make it easier.
I’m planning a trip to Las Vegas and need to locate a voucher that an airline sent me last year. The only problem is that searching “Airline” in my Gmail brings up a long list of previous credit card purchases, ticket confirmations, and even messages saying that my flight was delayed. There are thankfully a few ways to narrow down these search results.
Search by Label or location with “in:____”
I use labels for all of my archived messages, so I’ll take advantage of all that organization effort and search specifically within a label. In my case, I would narrow it down by search within “Receipts”. Enter this text in the search bar: “in:Receipts Airline”
You can also search with the Trash or Spam folders by entering “in:Trash ____” or “in:Spam ____”
Search by Date
Another tactic is to search within date range. I remember getting the voucher sometime after April 20, 2009, so I can narrow the results window by entering this text: “after: 2009/04/20″ You can also search before a timeframe by search “before: yyyy/mm/dd”
The great thing about Gmail search is you can put on multiple settings, so to search within a date range, just include both the before and after tags with appropriate dates.
Search by common factors
You can also search by specific, common features that take place in every correspondence. This includes performing a search by:
- name of sender – “from: name”
- name of recipient – “to: name”
- messages with attachments – “has: attachments”
- filename of attachment – “filename: name”
- Google Talk chats “is:chat”
- Star color – “has:yellow-star” or “has:blue-star” etc.
After combining a few of these search tactics, I’m able to search “in:Receipts after: 2009/04/20 Airline” and I’ve found my voucher. I’ll now be flying by saving a few bucks.
